A Clinic Coordinator, CC Admin2 is a multi-faceted, fast-paced role with several hats. They listen to patients and their families to ensure needs are being addressed, educate patients about the clinic and services we offer, keep patient records up to date, and act as a liaison between the patient and healthcare clinicians by keeping the lines of communication flowing. At Prospectively Healthy, the Clinic Coordinator, Admin2 Position is a hybrid position consisting of the following roles:
- Clinical Care Coordination: help upload lab requisitions and coordinate specimen pick-ups, and help patients transition between IV Lounge and Treatment Rooms. Help field phone calls and serve as a gate keeper for the doctor(s) on staff.
- Reception Care Coordination: ensure that patients are scheduled for follow up appointments, a credit card is on file in the charting system, and that they do not have an outstanding balance. Help order supplements that drop ship to patients, and process in-office supplement purchases.
In addition to the above-mentioned duties, the CCAdmin2 position is also responsible for helping with retail inventory, sending supply requests via email, and always maintaining a clean clinic.
- Daily Tasks: Check in and out all patients, collect payments, reschedule patients, answer phones, manage fax line and email communication on clinic phone, maintain a clean workspace, create deposit slip daily.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
Active BLS certification and full comprehension, including use of AED machine
OIG Exclusion Report, and Background check will be performed on all employees of Prospectively Healthy & Wellness Clinic, Prospectively Healthy LLC, and it’s affiliates.
EXPECTATIONS CCAdmin2 is expected to provide compassionate, patient-centered care always.
Be knowledgeable of all services we offer, financial agreements for patients, and privacy practices
Have a detailed and thorough understanding of our consent forms, including but not limited to general consent, and consent for procedures, as well as the post-Treatment summaries that are given to patients
Upload copies of incoming labs to the EMR system, marking the files “for review” and to be shared with the patient, and scheduling the patient for a lab follow up office visit. Assist with cleaning of the office as needed, in adherence to the cleaning calendar.
Helps stock and maintain supplies as needed
Communicate with patients, referral sources, and care coordination team members with utmost respect, positivity, and patient-centered focus always; written, verbal, and body language.
Ability to both deliver and receive constructive feedback and take necessary actions for professional growth.
