We’re hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents using the real estate transaction management software for our Realtors, monitoring important deadlines, and complying with state requirements. This position is also responsible for advancing the community and customer experience through online interactions and traditional marketing. You’ll also support the team by marketing the company on social media platforms and planning company events. This position requires attention to detail to ensure that all information marketed online and elsewhere accurately reflects our information and our brand. The ideal candidate should be a great communicator who is driven, highly detail-oriented, and has creative ideas about how to market the office and properties. Responsibilities include but are not limited to:

  • Confirm all paperwork for all real estate transactions are completed correctly and in a timely manner to ensure a deal is closed as quickly as possible.
  • Monitor deadlines and provide reminders to appropriate parties when necessary.
  • Work with broker to ensure each transaction complies with state requirements.
  • Streamline company materials and campaigns to ensure a consistent and concise message.
  • Create, deliver, and edit marketing materials and advertising campaigns that are effective and timely. Such as brochures, flyers, online marketing, and social media posts.
  • Develop community outreach events and signage to encourage and entice potential clients and improve our standing in the local area.
  • Plan and organize all team events, take photos, and market them on social media.
  • Manage website design, content, SEO development, and tracking analytics to ensure all content is up to date, relevant, and effective.
  • Support the company and Realtors by tracking incoming leads/prospects so marketing campaigns can be adjusted accordingly to help ensure company growth.
  • Deliver great customer-service to sellers, buyers, and lenders to improve customer satisfaction ratings.
  • Participate in training sessions to improve skills with administrative tasks in the real estate industry.
  • Track office supplies inventory and order as necessary.
  • Provide assistance to Realtors when needed.

Qualifications

  • High school diploma or equivalent required
  • Real estate license preferred
  • Previous experience in the real estate industry
  • 2+ years experience in an office setting required
  • Has basic knowledge of Mac computer products, and Google Drive
  • Excellent written and verbal communication, problem solving, and time management skills
  • Must have an open mind to new ideas and suggestions as well as have an upbeat attitude
