12 Month Position with 231 Working Days and 238 Paid Days (holidays).

Job Description

Purpose:   To provide secretarial assistance to Athletic Department.
 
Responsible to:  Hays High School Building Administrators and Athletic Director
 
Qualifications/Requirements:

  1. High school diploma or equivalency.
  2. Experience preferred.
  3. Serve as a role model for high school students.
  4. Communicate with students, staff, and public in a helpful, positive, and patient manner.
  5. Knowledge of computer usage and software.
  6. Ability to learn computer software with ease.
  7. Accurate in working with all data, including numbers.
  8. Maintain confidentiality in all aspects of job.
  9. Organized, self-directed worker, cooperative, dependable, exemplary attendance at work.
  10. Courteous, helpful, and willing to be flexible in job duties.
  11. Ability to adjust and adapt to new situations.
  12. Communicate clearly and work collaboratively with staff and community.

 
Essential Job Functions:

  1. Manage athletic/activity office operations.
  2. Maintain and update athletic events on the Hays High calendar and on district web calendar.
  3. Monitor and order awards, equipment, supplies, etc.
  4. Manage accounting and purchasing for individual athletic funds.
  5. Verification and accounting of home event gate/admissions money (count money under supervision of Principal’s secretary, ticket & deposit verification, etc.)
  6. Manage & prepare athletic schedules, opponent contracts and officials contracts. 
  7. Correspond with opponents when hosting events (prepare information letters, verify schedules, request rosters, etc.)
  8. Recruit and assign workers for events (scorekeepers, gate workers, etc.).
  9. Manage Kansas State High School Activities Association paperwork/reports such as physical forms, entry forms, etc.
  10. Prepare athletic award winner packets (print certificates, distribute pins, maintain database of letter winners, etc.)
  11. Other duties as assigned.

 
Marginal Job Functions:

  1. Work games/events after hours if needed.
  2. Assist in front office if needed.
  3. Must be able to provide small maintenance on office equipment, such as copiers, fax machine, printers, etc.
  4. Cross-train with other clerical staff members.
  5. Complete end of year items during extended days of summer if needed

 
Physical Requirements:

  1. Secretarial staff should be able to lift a minimum of 20 pounds.
  2. Must be able to have lengthy computer posture and sit at a workstation most of an eight-hour workday.
  3. Must have manual dexterity for consistent and accurate computer input.
  4. Must be capable of dealing with a consistent high level of activity with numerous interruptions.

 
Other:

  1. The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the district.
  2. The employee shall not smoke on school grounds or in district vehicles at any time.
  3. The employee shall serve as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings.

 
Term of Employment:

  1. At will.
  2. Regular attendance is required of all employee’s subject to allowed leave in accordance with district policy.
  3. Selected candidate must pass background check.
  4. Selected candidate must provide health and inoculation certificate.

 
Evaluation:

  1. Performance effectiveness evaluated in accordance with provisions of Kansas Statutes and USD 489 Board of Education policy.
  2. Evaluation will be the responsibility of the supervisor.
